Job Summary

Reporting Structure:
This position reports to the Office Services/Facilities Manager.
Principal Duties and Responsibilities: 

A.    Client Care and Phone Responsibilities

    Guests:
1.    Greet internal and external clients with a smile, acknowledging them promptly, using the agreed welcome “Good Morning/Good Afternoon …”
2.    Make sure guests are comfortable: offer guests a beverage and ask to take their coat or luggage.
3.    Call the person waiting for the visitor or direct the guest to the assigned conference rooms or office.
4.    Maintain a visitor log and castle card log and update on a daily basis.
5.    Provide the building lobby concierge with a list of visitors expected the following day. 
6.    Arrange for transport for guests when needed. Prepare taxi vouchers or call approved car service.
Phone Calls:
1.    Answer reception desk telephones and route calls to relevant employees.
2.    Take and relay messages when and as required.
3.    Answer general inquiries about the firm such as location, fax number, transportation options etc.
4.    Maintain a professional, polite and considerate manner at all times.
