Job Summary

Key Responsibilities:

  • Resetting, refreshing and turning rooms as necessary in conference center. Working with coordinators, managers and team to minimize room turns while being flexible to ensure the best client experience.
  • Wiping down/cleaning all tables and chairs, remove trash, vaccuum.
  • Supplying and setting up items not included in rooms (flip charts, whiteboards, screens, etc.).
  • Ensure all equipment (tables, chairs, etc.) utilized for meetings are of the best repair while identifying and reporting issues with non-functioning items.
  • Checking that phones are sanitized and in working condition.
  • Reporting all conference center damage to Maintenance (chipped paint, broken doors, etc.).
  • Assisting with Audio Visual as needed. (will be required to learn basic AV skills.
  • Collecting documents remaining after meetings, checking with the Conference Coordinators whether they are to be returned or shredded.
  • Notifying Coordinators if any meetings are running late.
  • Assisting with special events, both on-site and off-site.
  • Facilitating all food and beverage requests in both the Conference Center, as well as all off-floor requests (as approved by Conference Center Manager & Lead Conference Aid). Check all catering deliveries and assure all products are accounted for including service ware, napkins and accessories per set up sheets/menu listing.
  • Maintaining breakdown of all deliveries assuring that each room has been clean as per SOPs and all left over catering has been disposed of properly. Assuring that all credenzas, carts and counters are free of any product at the end of each shift.
  • Facilitating and ensuring the timely set up, delivery and clean-up of Conference Center supported water and coffee services
  • Enforcement of minimum set up 15 minutes prior to meeting as standard
  • Coordinating all food deliveries with Conference Center manager & Lead Conference Aid and/or Coordinator. Utilizing EMS reporting to schedule deliveries and pick-ups.
  • Assisting clients with food and beverage requests as needed, setting up the appropriate items and being present to answer any food related questions.
  • Pantry management which includes flyer posting, supplies, brewed coffee, espresso/coffee machine management, vending, maintenance and reporting.
  • Additional duties as assigned. 

Preferred Qualifications:

  • Excellent organizational skills, with the ability to prioritize tasks and juggle many tasks simultaneously
  • Excellent oral and written communication skills
  • Basic computer skills and knowledge of office technology/equipment
  • Ability to read and process banquet event orders/protocols (REALM)
  • Ability to work calmly and effectively in stressful situations
  • Exceptional client service skills to exceed expectations
  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details
  • Discreet, ethical and committed to maintaining a high degree of confidentiality
  • Excelling as a team member, with a passion for delivering the Platinum Service® standard and focused on total customer satisfaction
  • Maintaining a consistently professional approach, with a willingness to take ownership and responsibility both within and outside one’s job domain
  • One year hospitality service in a hotel, conference center or corporate environment.
  • A genuine sense of hospitality, with a commitment to delivering the Platinum Service® Standard in all aspects of the Conference Aides’ job
